Private Site: Navigating the Neola Editor App Space
This guide provides an in-depth walkthrough of navigating the Neola Editor App, detailing how to find your way around the home page and effectively use the internal editing space.
1. Navigating the Home Page
The Home Page serves as your central dashboard for accessing client workspaces, specific manuals, and system updates.
- Breadcrumb Trail: Located in the upper left corner, the breadcrumb trail tracks your location within the site and allows you to easily navigate backward without relying on your browser's back button.
- Understanding the Book Structure: Client sites are organized into functional categories called "books". The five primary books include:
- Published: A view-only reference showing what is currently live on the public site. A staging book for newly adopted material to be synced to the public site.
- Draft: Your primary active workspace. This is where you will draft, edit, and merge documents.
- Production: A secure book used for submitting finalized, board-adopted materials to Neola staff for processing and publishing.
- Retired: An archive for retired policies.
- Subscriptions: Located next to the core books, the subscription section indicates what update subscriptions are available to the client (e.g., Local Policy Updates).
3. Navigating the Editing Space (The Draft Book)
To edit policies, you must work within a Draft Book. If you need to edit a published policy, you must first copy it into your Drafts by locating it in the Published book, clicking the three-dot menu, and selecting "Copy to Draft".
Workspace Layout and Organization
- Section Menus: On the left side of the screen, you will see a list of categories or sections (e.g., Bylaws, 1000s, 2000s). Clicking a section reveals the list of policies housed within it in the center viewing area.
- Creating Custom Sections: You can create custom folders for organization (e.g., "Policies for Adoption"). Click the "Book" menu at the top left and select "New Section".
- Drag-and-Drop functionality: You can move policies between sections by clicking and dragging them. To select and move multiple policies at once, hold the Shift key to select a continuous group, or the Control key (Command on Mac) to randomly select multiple policies, then drag them together.
- Viewing Metadata: By expanding or widening your columns in the viewing area, you can access additional metadata, such as who last edited a document and exactly when the edit occurred.
Tracking Workflow with Statuses
- Setting a Status: To manage the drafting or update workflow, you can assign a status to any policy. Click the status drop-down next to a policy to label it (e.g., Revised, For the Board, Adopted).
- Filtering by Status: Once statuses are assigned, they act as organizational filters. The system will display dynamic counts of policies based on their status right under the section headers. You can click on a specific status (like "Revised") to view only the policies that have reached that step in the workflow.
