As a Neola Select customer, the manual procedures required within the new Neola Policy Publishing Tool are fully streamlined for your convenience.
Neola Associates handle all document editing, update importing, and file management on behalf of Neola Select districts. Your primary role is to review policy content and make decisions for your district, while your Associate handles the technical operations within the editor site.
Here is a breakdown of the services your Neola Associate will manage for you:
1. Importing Updates When new policy update packages or administrative guidelines are released, you do not need to manually download or import them into the drafting system.
- Your Neola Associate will manage the entire importing process, selecting the appropriate update subscriptions and downloading them into the active drafting workspace.
- During this process, the Associate will automatically match the incoming update packages against your district's currently published policy manual. This prompts the system to directly compare the new Neola templates with your existing active policies to easily identify necessary changes.
2. Document Editing and Formatting Neola Associates manage all technical aspects of document editing and formatting.
- When reviewing an update, your Associate will utilize the system's split-screen comparison mode, which displays your district's current policy on one side and the newly updated template on the other.
- Using the platform's built-in CK Editor, your Associate will handle all text modifications and activate "Track Changes" so that any additions or deletions are clearly highlighted for your review.
- They will utilize specific pasting commands (pasting as plain text) to carefully integrate new language, ensuring your documents remain clean and free from confusing formatting errors.
3. Moving Files and Organizing Your Workflow You will not need to manually organize your files, create folders, or transfer documents between system books.
- Your Associate will handle creating custom sections—such as specific folders designated for upcoming board meetings or superintendent review—and use drag-and-drop tools to efficiently move your policies into these categorized spaces.
- To help you easily track the progress of your updates, the Associate will actively assign a "Status" to each document. By applying labels like Revised, For the Board, or Adopted, the Associate ensures your project workflow remains organized and transparent.
4. Generating Packets and Submitting to Production
- When you are ready to review the drafted policies or present them to your board, your Associate will export the organized sections to generate complete PDF board packets. These packets are automatically formatted with a cover page, a clickable table of contents, and line numbers to help board members easily reference specific changes.
- Once your board officially adopts the policies, your Associate will move the finalized files into the Neola Production book. This officially submits the adopted materials to Neola's staff for final processing and publication to your district's live public site.
