Private Site: Workflow for Drafting New Material
Phase 1: Initial Setup and Accessing Templates
- Locating Templates: For new clients, Neola templates are pre-loaded directly into the district's "Drafts" book, by production staff.
Phase 2: Drafting and Revisions (The First Draft)
- Editing the Template: Open a policy template in the Draft book and click on Edit.
- Formatting and Cleanup: Your primary focus will be on tailoring the content, selecting options, removing unnecessary template instructions, and cleaning up details like titles and numbers.
- Track Changes: Ensure Track Changes is toggled on using the CK Editor toolbar so all of your specific additions and deletions are clearly recorded. Once your edits are complete, click Save.
- Selecting the Status: Use the Status drop-down menu to assign a label like Revised to the saved policy. This tracks your progress and allows you to easily filter and see which templates have been worked on.
- Organizing the First Draft: Change statuses to move files along the drafting workflow.
Phase 3: Processing the Clean Draft
- Submitting to Production: Once your first draft section is complete, use the submit to Production menu item to transfer materials to the Production Book.
- Generating the Clean Draft: Production will remove track changes, format the final language and generate a "Clean 1st Draft" book for you to review.
Phase 4: Review and Finalization
- Second Round Revisions: Review the clean draft provided by Production. If further modifications are necessary, open the clean documents, turn on track changes again, and make the final edits.
- Organizing the Second Draft: Use the status options to communicate second round revisions.
- Creating Board Packets: To present these new policies to the board, you can click the three-dot menu on your section and select Export PDF. This generates a complete board packet with a cover page, a clickable table of contents, and line numbers for easy board discussion.
- Final Adoption: Once the board officially adopts the new material, update the document statuses to Adopted. Submit the finalized policies directly to Production using the "Send to Neola" feature so they can be officially published to the public site.
